What you’ll bring

The Executive Assistant, Projects plays a vital role in supporting the executive team at our marketing consultancy and growth advisor firm. They are responsible for providing high-level administrative assistance and project coordination to ensure seamless operations, effective communication, and efficient execution of key initiatives.

What you’ll do

Executive Support: Provide comprehensive administrative support to the executive team, including calendar management, travel arrangements, meeting coordination, and correspondence. Anticipate needs, prioritize tasks, and ensure the smooth operation of daily activities, enabling executives to focus on strategic priorities.

Project Coordination: Collaborate with cross-functional teams to facilitate project planning, execution, and delivery. Assist in organizing project meetings, tracking project milestones, and ensuring timely follow-up on action items. Support project documentation and reporting, ensuring accurate and up-to-date information is available to stakeholders.

Information Management: Efficiently manage information flow within the executive team and across the organization. Prepare and distribute meeting agendas, minutes, and reports. Maintain organized electronic and physical filing systems, ensuring easy accessibility and confidentiality of sensitive information.

Communication and Stakeholder Engagement: Act as a liaison between the executive team, internal teams, clients, and external partners. Facilitate effective communication channels, both internally and externally, ensuring timely and accurate dissemination of information. Cultivate positive relationships with stakeholders to enhance collaboration and achieve shared goals.

Research and Analysis: Conduct research and analysis on various topics, providing insightful and well-structured reports to support executive decision-making. Assist in gathering market intelligence, competitor analysis, and industry trends to inform strategic initiatives and business development efforts.

Process Improvement: Identify opportunities for process optimization and efficiency gains within the executive team’s workflow. Propose and implement streamlined administrative processes, tools, and systems to enhance productivity and effectiveness.

Confidentiality and Professionalism: Uphold the highest standards of professionalism, ethics, and confidentiality in handling sensitive information. Exercise sound judgment and discretion in all interactions and maintain strict confidentiality of executive-level discussions and documents.

What you’ve got

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Proven experience as an Executive Assistant or Project Assistant, preferably in a marketing consultancy or professional services environment.
  • Excellent organizational and time management skills, with the ability to handle multiple tasks and prioritize effectively.
  • Strong attention to detail and accuracy in managing administrative tasks and project coordination.
  • Exceptional written and verbal communication skills, with the ability to interact professionally at all levels.
  • Proficiency in productivity tools and software, such as Microsoft Office Suite, project management tools, and collaboration platforms.
  • Strong problem-solving skills and ability to think critically in fast-paced environments.
  • Discretion in handling sensitive and confidential information.
  • Ability to adapt quickly to changing priorities and maintain composure under pressure.
